A battle-tested, five-phase playbook for B2B AI agencies — covering everything from pre-call intel to the final close. Follow this SOP to shorten sales cycles, eliminate objection dead-ends, and convert skeptical prospects into paying clients.
Never get on a call without knowing exactly how their specific industry loses money or time. The goal is to walk in with a strong hypothesis — not generic talking points.
Research standard operational drags in their industry before the call. For real estate, it's lead qualification time. For e-commerce, it's customer support overhead. Know the drag before you dial.
Check their website, LinkedIn, and job boards. Are they hiring for low-level admin roles? Do they have a clunky chatbot or broken workflow? Job listings reveal operational pain better than any pitch deck.
Enter the call with a clear, research-backed hypothesis of where they're bleeding resources — not a vague opener. Specificity signals expertise and instantly builds credibility.
Your only goal in discovery is to get the prospect to articulate their own pain. The less you talk, the more you learn — and the more they sell themselves on the need for a solution.
Keep your intro tight. State your mission directly: "We help [Niche] businesses leverage AI to eliminate manual tasks and scale revenue without adding headcount." Then hand control back to them.
This is where preparation pays off. Use their own words to reflect the problem back, then show — in concrete, quantified terms — exactly what life looks like after your solution is deployed.
Mirror their language exactly: "Currently, your team spends 20 hours a week manually entering data, costing you $X and introducing human error at every step." Ground it in their numbers — not hypotheticals.
"We deploy a custom automation that handles this instantly, dropping your error rate to near-zero and buying back 20 hours every single week." Quantify the transformation in time and dollars.
If at all possible, run a 60-second Loom video or live demo of a similar AI automation working in real time. Visual proof is the single most powerful trust-builder you have in AI sales. Don't skip it.
Objections aren't rejections — they're requests for clarity. Every objection below has a structured, empathy-first response designed to redirect fear into confidence.
The close isn't a hard sell — it's a natural continuation of the conversation you've been leading. Restate the ROI, lower the barrier to entry, and always lock in a concrete next action before the call ends.
Briefly restate the core problem and the measurable financial or time benefit your solution delivers. Keep it to 2–3 sentences. Make the value undeniable before asking for a commitment.
Never pitch a massive overhaul on the first close. Pitch a Pilot Program or a Strategy Audit instead. "Based on what we discussed, the lowest-hanging fruit is automating [Task]. We can build a pilot in [X timeframe]. Should we map that out?"
Never leave a call without scheduling the follow-up or sending the proposal on the spot. A call that ends without a concrete next step is a deal that's already stalling. Momentum is everything.
